Privacy Policy
This policy describes how RoofLeads Pro collects, uses, and shares information submitted through our platform. Please read it carefully before submitting a request or applying as a contractor.
Important: This is a starter privacy policy template provided for informational purposes. It has not been reviewed or approved by an attorney. Before launching your platform, you should consult a qualified privacy or business attorney to ensure compliance with applicable laws including TCPA, CAN-SPAM, CCPA, and any state-specific regulations applicable to your business.
1. Who We Are
RoofLeads Pro ("we," "us," or "our") is a roofing lead generation and contractor referral platform. We operate roofleadspro.com and related web properties. Our platform connects homeowners seeking roofing estimates with local roofing contractors who have applied for and been approved to receive leads in designated service territories.
We are not a roofing contractor. We do not perform roofing work, enter into roofing contracts, or guarantee the quality or licensing of any contractor on our platform. All work agreements are entered into directly between homeowners and the contractors they choose to work with.

- Phone number
- Roofing project type, timeline, and description
- Property type and roof details

Submission of this information is required to process and route your roofing request. You may decline to submit if you do not wish this information to be collected and shared as described in this policy.
2b. Information Contractors Provide
When a roofing contractor submits an application through our platform, we collect information entered in the contractor application form, including:
- Applicant name and company name
- Business email address and phone number
- Company website (optional)
- Desired service area and ZIP codes
- Services offered and operational details
- Monthly lead goals and plan preference
- Notes provided by the applicant
2c. Information Collected Through Contacts
When you contact us via email, phone, or our contact form, we retain the content of that communication and your contact details to respond to your inquiry.
2d. Automatically Collected Information
Like most websites, we may automatically collect certain technical information when you visit our site, including IP address, browser type, device type, referring URL, pages visited, and general geographic region. This information is collected through standard server logs and analytics tools described in Section 6.
3. How We Use Your Information
We use the information collected through our platform for the following purposes:
- To process and route homeowner estimate requests — Your project details and contact information are used to identify and notify matched roofing contractors in your service area.
- To operate and manage the contractor network — Contractor application data is used to review, approve, configure, and support contractor accounts on our platform.
- To communicate with you — We may contact you by email or phone regarding your submitted request, application status, account updates, or support inquiries.
- To improve our platform — Aggregate, non-identifying usage data helps us understand how the site is used and improve platform functionality and content.
- To comply with legal obligations — We may retain or disclose information where required to comply with applicable law, legal process, or to protect rights and safety.
We do not use homeowner contact information for unrelated marketing, and we do not sell homeowner information to third-party advertisers, data brokers, or marketing companies unrelated to the roofing request being submitted.
4. How Homeowner Requests Are Shared
When a homeowner submits a roofing estimate request, the full project details and contact information provided in that request are shared with roofing contractors who have been approved for the matching service territory on our platform. This is the core function of our service and is the primary reason homeowner information is collected.
Specifically, homeowner request data — including name, phone number, email address, ZIP code, project description, and project details — is delivered to the contractor(s) matched to the homeowner's service area and project type. Contractors use this information to contact the homeowner directly, discuss the project, and provide estimates.
By submitting a roofing estimate request through RoofLeads Pro, you are providing consent for your request and contact information to be shared with local roofing contractors for the purpose of responding to your project request. You acknowledge that you may be contacted by phone, text message, or email by matched contractors. Consent to be contacted is not a condition of purchase.
Homeowner information is shared only with contractors who have been approved on our platform for the applicable service territory. It is not shared with contractors outside your matched territory, and it is not sold to unrelated advertisers, spam networks, or general marketing companies.
Contractors who receive homeowner data through our platform are subject to our Contractor Lead Policy, which governs how they may use that information. We cannot, however, control the actions of independent contractors once information has been shared, and we are not responsible for how contractors independently handle your information once they receive it.
We may also share information in the following limited circumstances:
- With service providers: We may share information with trusted vendors who assist in operating our platform (e.g., email delivery services, hosting providers, analytics tools). These vendors are limited to using information only as needed to provide services to us.
- For legal compliance: We may disclose information if required by law, court order, or government authority, or to protect the safety, rights, or property of RoofLeads Pro, our users, or the public.
- In a business transfer: If RoofLeads Pro is acquired, merged, or transfers its assets, user information may be transferred as part of that transaction, subject to continued privacy protections.
5. Contractor Applications
Information submitted through the contractor application form is used solely to evaluate the application, set up approved contractor accounts, and manage the ongoing contractor relationship on our platform. Contractor contact information and business details are not sold to third parties.
Contractor account data, including subscription status, territory configuration, and lead history, is retained for the duration of the contractor's active account and for a reasonable period thereafter for business record purposes. See Section 8 for data retention details.
6. Cookies and Analytics
Our website may use cookies and similar tracking technologies to operate certain site functions and to understand how visitors use the site. This section will be updated to reflect our specific analytics and cookie implementation prior to launch.
Types of Cookies We May Use
- Strictly necessary cookies: Required for the site to function properly, such as session management and form security tokens. These cannot be disabled.
- Analytics cookies: Used to collect aggregate, anonymous information about how visitors interact with our site (e.g., pages visited, time on site, traffic sources). We may use a third-party analytics service such as Google Analytics or a privacy-first alternative. [Specific tool to be documented prior to launch.]
- Preference cookies: Used to remember user settings such as light/dark mode preference.
[Cookie consent mechanism and full cookie inventory to be implemented and documented prior to launch. If operating in jurisdictions requiring opt-in consent for analytics cookies (e.g., GDPR-covered users), a cookie consent banner must be implemented.]
Your Cookie Choices
You may adjust your browser settings to refuse or delete cookies. Disabling strictly necessary cookies may affect site functionality. Disabling analytics cookies will not affect your ability to submit requests or use the platform.
7. Communication Consent
Homeowners who submit a roofing estimate request through RoofLeads Pro are required to check a consent checkbox before their request is submitted. The consent language reads:
"I agree to be contacted by RoofLeads Pro and matched roofing contractors by phone, text, or email about my roofing request. Consent is not a condition of purchase."
By checking this box and submitting a request, you acknowledge and agree that:
- Your contact information and project details may be shared with roofing contractors matched to your service area.
- You may be contacted by those contractors by phone call, text message (SMS), or email regarding your roofing project.
- You may receive multiple contacts from different matched contractors.
- You are not required to hire any contractor you are connected with.
- Providing consent is not a condition of receiving any service or making any purchase.
If you wish to opt out of further communications from RoofLeads Pro after submitting a request, you may contact us at privacy@roofleadspro.com or by phone at (000) 000-0000. Note that we cannot recall communications already delivered to contractors prior to your opt-out request.
Standard message and data rates may apply to SMS communications. Reply STOP to any text message from RoofLeads Pro to opt out of future SMS from us. This does not affect communications initiated directly by matched contractors.
8. Data Retention
[Specific data retention periods to be defined and documented prior to launch based on business requirements and applicable legal obligations. The following is a general framework placeholder.]
We retain information for as long as reasonably necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. General retention guidelines:
- Homeowner request records: Retained for a period of [X months/years] from the date of submission to support lead dispute resolution and platform integrity purposes.
- Contractor account records: Retained for the duration of the active account plus a reasonable period thereafter for business record purposes.
- Contact form submissions: Retained for [X months] from the date of submission unless follow-up requires longer retention.
- Analytics data: Aggregate analytics data may be retained indefinitely. Raw session data is subject to the retention policies of the applicable analytics provider.
You may request deletion of your information by contacting us as described in Section 15. We will honor deletion requests to the extent technically feasible and not in conflict with our legal obligations or legitimate business interests.

- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to applicable legal exceptions.
- Opt-out of sharing: Request that we not share your personal information with third parties for certain purposes. See Section 10.
- Withdrawal of consent: Withdraw previously provided consent to receive communications, to the extent that withdrawal does not affect communications already delivered.
To exercise any of these rights, contact us at privacy@roofleadspro.com or by phone at (000) 000-0000. We will respond to verifiable requests within a reasonable timeframe. We may need to verify your identity before processing a request.
[If operating in California or other states with specific consumer privacy laws (CCPA, VCDPA, CPA, etc.), additional rights disclosures and response procedures may be required. Consult legal counsel prior to launch.]
10. Do Not Sell or Share My Information
We do not sell your personal information to third-party advertisers, data brokers, or marketing companies for their own independent commercial use.
The sharing of homeowner contact information with matched roofing contractors is a core function of our lead generation service and is disclosed at the time of submission. This sharing is conducted for the purpose of fulfilling your roofing estimate request, not for the independent commercial benefit of unrelated third parties.
If you have concerns about how your information is used or shared, or if you wish to exercise any opt-out rights available under applicable law, please visit our Do Not Sell or Share My Information page or contact us directly at privacy@roofleadspro.com.
